Every Week
Check Account Health Dashboard
Log into Seller Central and review the Account Health Dashboard. Look for any new warnings, policy violations, or metric alerts. This is your early warning system.
Action: Screenshot the dashboard weekly. Compare week-over-week to spot trends before they become problems.
Review Order Defect Rate (ODR) Trend
Check the ODR trend over the past 7 and 30 days. Look for any upward movement. Even a 0.2% increase can signal a problem that will compound.
Action: If ODR exceeds 0.5%, immediately investigate the contributing factors (negative feedback, claims, chargebacks).
Check Late Shipment Rate
Review shipments from the past 7 days. Verify all orders were shipped with valid tracking before the ship-by date. Identify any systemic delays.
Action: If any late shipments occurred, identify the cause (inventory, carrier, processing time) and fix the bottleneck.
Review Cancellation Rate
Check for any seller-initiated cancellations. Each cancellation hurts your metrics. Most cancellations are caused by inventory sync failures or overselling.
Action: If cancellations occurred, verify your inventory management system is syncing properly across all channels.
Respond to All Buyer Messages
Check buyer messages daily, but verify weekly that no messages were missed. Every message must be responded to within 24 hours. Set up auto-responses for weekends if needed.
Action: Create saved response templates for common questions to speed up response time and maintain consistency.
Check for Policy Violations
Review Performance Notifications for any new policy violations, ASIN suppression notices, or listing deactivations. Address every notification, even if it seems minor.
Action: For each violation, create a brief plan of action immediately, even if Amazon has not requested one yet.
Review Return Requests
Check all new return requests. Authorize returns promptly. Monitor return reasons for patterns. High return rates on specific products signal listing or quality issues.
Action: If any product has a return rate over 10%, investigate immediately. Update the listing or address the quality issue.
Monitor Negative Reviews
Check all new 1-3 star reviews across your catalog. Look for recurring themes. Respond to reviews that violate guidelines (request removal). Use feedback to improve products.
Action: For each negative review, determine if it is a product issue, listing issue, or fulfillment issue, then take corrective action.
Check Inventory Levels
Review FBA and FBM inventory levels. Identify products approaching stockout. Check for stranded inventory. Verify inbound shipments are progressing on schedule.
Action: Reorder products that will stock out within your lead time + 2 weeks buffer. Remove stranded inventory.
Review PPC Spend and Performance
Check advertising spend vs budget. Review ACOS and ROAS for each campaign. Pause underperforming keywords. Adjust bids on high-performing terms.
Action: Download the search term report. Add converting search terms as exact match. Negate non-converting terms.
Check Listing Suppression
Verify all your listings are active and visible. Amazon can suppress listings without prominent notification. Search for your products to confirm they appear in results.
Action: If any listings are suppressed, check the "Fix Your Products" section in Seller Central for the specific issue.
Review Buy Box Percentage
Check Buy Box win rate for your top products. A declining Buy Box percentage means lost sales. Compare your pricing, fulfillment method, and seller rating against competitors.
Action: If Buy Box share dropped, check competitor pricing and verify your offer is competitive. Ensure FBA is active.

First of Each Month
Full Performance Metrics Review
Pull a complete performance report for the past 30 days. Compare against the previous month. Document improvements and declines across all key metrics (ODR, LSR, cancellation, feedback).
Action: Create a monthly performance scorecard. Share with your team. Set specific improvement targets for the next month.
Competitor Listing Audit
Review the top 5 competitors for each of your main products. Note any changes to their titles, images, pricing, A+ Content, or review counts. Identify new competitors entering the market.
Action: Update your listings based on competitive insights. Match or beat improvements competitors have made.
Pricing Competitiveness Check
Compare your pricing against the top 10 sellers for each of your main keywords. Factor in coupons, Subscribe & Save discounts, and bundle pricing competitors are using.
Action: Adjust pricing strategy where needed. Consider adding coupons or Subscribe & Save if competitors are using them.
Keyword Ranking Check
Track your organic ranking for your top 10-20 keywords. Use Helium 10, Jungle Scout, or manual searches. Note any significant ranking drops that need investigation.
Action: For keywords that dropped, analyze whether it is a relevancy issue, conversion issue, or competition issue. Optimize accordingly.
A+ Content Performance
If you have A+ Content, check conversion rate changes since implementation. Compare products with A+ Content against those without. Look for modules that may need refreshing.
Action: Refresh A+ Content that has been live for 6+ months. Test new module layouts. Update comparison charts.
Advertising ACOS Review
Review 30-day ACOS across all campaigns. Identify campaigns where ACOS exceeds your target (typically 25-35% for established products). Analyze spend efficiency by campaign type.
Action: Restructure underperforming campaigns. Increase budgets on campaigns with ACOS under target. Test new ad types.
Storage Fee Review
Check FBA storage fees for the past month. Identify slow-moving inventory that is accumulating long-term storage fees. Calculate the true cost of holding excess inventory.
Action: Create removal orders for inventory with 90+ days of supply. Run promotions on slow movers. Adjust reorder quantities.
Customer Feedback Trend Analysis
Aggregate all customer feedback channels: reviews, messages, returns, A-to-Z claims. Identify the top 3 customer complaints across your catalog. Track whether previous improvements had impact.
Action: Create an action plan for the top 3 complaints. Assign ownership and deadlines. Update product listings to set accurate expectations.

Supplier Quality Audit
Conduct a thorough review of each supplier's performance over the past quarter. Evaluate: defect rates, shipping timeliness, communication quality, and pricing consistency. Compare against your quality standards.
Action: Schedule calls with each supplier. Discuss any quality issues. Negotiate better terms based on volume. Evaluate backup suppliers for critical products.
Brand Registry Health Check
Review your Brand Registry status and tools. Check for any unauthorized sellers on your listings. Review brand protection reports. Ensure your trademark registrations are current.
Action: File brand protection reports for any unauthorized sellers. Update Brand Registry with new products. Explore new Brand Registry features released this quarter.
Listing Image Refresh
Evaluate all product images across your catalog. Are they still competitive? Do they reflect current packaging? Are there new image styles or formats performing well in your category?
Action: Schedule new product photography for your top-selling items. Update lifestyle images seasonally. A/B test new main images for your top 5 products.
Category Review for New Opportunities
Analyze your product categories for new opportunities: trending products, gaps in the market, complementary products to your existing line, new sub-categories that have opened up.
Action: Identify 2-3 potential new products to research. Use your Product Research Scorecard to evaluate them. Plan product launches for the next quarter.
Insurance & Documentation Renewal Check
Review expiration dates for: commercial liability insurance, product certifications (FDA, CPSC, FCC, UL), business licenses, supplier agreements, and any permits required for your product categories.
Action: Renew anything expiring within 90 days. Update Amazon with new documentation as needed. File updated certificates in your compliance archive.
